Event Coordinator

OVERVIEW

Better Together works to end the root causes of poverty, dependency, divorce and child abuse by leveraging the power of the local church to provide struggling families with supportive relationships and meaningful work. Once properly supported, families can achieve independence, stay together and thrive.

The Better Together Team seeks an Events Coordinator to manage and support Fundraising events and activities. He or she will be responsible for all aspects of event planning, including but not limited to: researching vendors, negotiating contracts, day of coordination, and evaluating success afterwards.

The ideal candidate will have strong organization skills and high competency in vendor management. Excellent communication skills and a strong attention to detail are necessary for this role. Collaboration is key as you will work with the Development Director, Marketing Director and other key personnel to ensure a successful event.

ROLES AND RESPONSIBILITIES

The Events Coordinator will have four primary roles, broken down into key responsibilities. They are:

  1. Strategic Event Planning
  2. Logistics Management
  3. Event Execution and Oversight
  4. Day of Coordination

Strategic Event Planning

  • Plan and execute various events, including thank you receptions, fundraising, donor, and direct service events.
  • Develop event details such as time, place, theme, invitations, etc.
  • Collaborate with the Marketing team to determine audio/visual needs and ensure alignment with the organization’s branding
  • Conduct financial reporting and budgeting for events

Logistics Management

  • Create event timelines and pre-planning requirements to ensure smooth execution.
  • Manage internal communications regarding event logistics and details among team members.
  • Research vendors, negotiate terms, and book vendors for events.
  • Coordinate vendor logistics such as arrival times and clean-up activities.

Event Execution and Oversight

  • Maintain a calendar of events and implement a planning system for mid and long-term event scheduling.
  • Manage volunteer event staff and oversee attendee communication.
  • Provide on-site event management, troubleshoot issues, and ensure a seamless event experience for all attendees.
  • Conduct post-event follow-ups, including evaluating event success and implementing any necessary improvements for future events.

Marketing and Sponsorship Coordination

  • Assist in securing sponsorship opportunities to support event funding.
  • Collaborate with the Marketing team on event promotion and communication strategies.
  • Oversee the registration process and manage event check-out procedures to ensure smooth attendee experiences.

REQUIREMENTS

  • Proven experience as event coordinator
  • A proven track record of organizing small and large events
  • Proficient in MS Office
  • Excellent vendor management skills
  • Outstanding communication and negotiation ability
  • Well-organized and multi-tasking skills
  • Able to remain calm under pressure and handle high stress situations
  • Problem solving ability
  • Preferred degree in hospitality, public relations, or relevant field
  • Match Better Together’s core values (described above)

TIMING, LOCATION AND COMPENSATION

Better Together seeks to fill this position as soon as possible. The organization’s headquarters are in Naples, Florida, but all the Better Together staff reside in Florida. Better Together has built a highly successful work culture over the past decade with systems and structures designed for clarity, flexibility, and great communication. Key elements of the environment include:

  • Weekly team meetings with clear accountability and the opportunity to solve issues as a team.
  • Quarterly in-person team meetings at which you’ll build deeper relationships, set clear goals aligned with the Better Together vision, and brainstorm how to seize new opportunities
  • An intensive 90-day orientation to familiarize you with the Better Together team, our policies, and how we operate
